Easy Member Interactions with an AMS
Nothing is more important to the health of an association than an open line of communication between administrators and members (and vice versa). Your association needs to reduce the barriers to application, provide value, orchestrate meaningful initiatives and events, and implement an AMS that provides a great user experience. However, while these efforts are absolutely imperative, they will all be for not if they are not supported by thorough and ongoing communication.
But, if your association is growing its membership, at some point, it’s going to get unreasonably difficult to keep up with the communication traffic – despite the genuine efforts of your administrators. So, what can be done? What will allow an association to interact with their membership with the frequency and breadth necessary to make members feel taken care of?
This is when it’s important to have an association management software with a comprehensive communication apparatus built in. An easy-to-use, adaptable interface that allows administrators to interact with the entire membership (or a specified subset) in an expedited and genuine fashion is key in building and maintaining a thriving community.
A comprehensive communication system within your AMS should be capable of the following functions.
- Your association’s communication interface should be able to be customized so that it suits your needs and the needs of your membership. Whether it’s swapping out difference mail-out templates or the functionality of the communication apparatus itself – your association should have full control over how member interactions are sent and how they are presented.
- Selective Adaptability
- You can’t paint every member with the same brush – sometimes, the same message needs to be delivered in several different iterations to achieve the same positive result. Through your AMS communication interface, administrators should be able to create adaptable groups so specific members can be targeted for particular communication content – tailored specifically for them. Of course, you should also be able to send mass communications to your entire membership – where adaptations are not required.
- Administrators should be able to schedule communications to be sent out on a specific date or to be triggered by a certain event. These pre-determined parameters for releasing a communication will activate the automatic dispersal of information. This feature is beneficial to administrators as they can schedule the release, so that task is taken off their plate – instead of them having to remember to send the communication out at a particular time. It’s a common theme when discussing membership management systems, but it is nonetheless true – anything you can automate is going to make your association a better performer.
- Lastly, when sending communications through your AMS, you should be able to track each message’s performance. Did recipients click on the link connected to content embedded in the message? How many members interacted with the enclosed link? How many members completed the survey at the end of the content? Having an association management software that can answer these questions for you will empower your organization with knowledge. You will be able to identify what communications are successfully encouraging member engagement and what messages may require improvement.
As an association, you’ve got to draw on all of the technological advances the digital age has given us. These advances keep your association with the times and make things easier for both administrators and members. However, the human touch will always be important. A comprehensive communication interface will empower administrators to have more effective and efficient interactions with members. Consequently, members will have the perception that they have unimpeded access to administrators and will feel all the more connected to the association as a whole.
